Add WhatsApp alongside supported channels such as Twilio SMS, Telegram and Instagram. Your team can answer through HubSpot while customers continue using their preferred messaging app.
Send approved WhatsApp templates through the Octopods workflow action. Enter the required template values and provide a public image, video or document URL when the template requires a media header.
Both options use the official WhatsApp platform. Evaluate them against your actual account and workflow requirements.

A customer may ask about availability, request a document and come back after a purchase. Design the WhatsApp setup around the people who will own those replies.
Give each business number a clear destination. Decide who answers new enquiries and what happens when that team is unavailable.
Use the connected HubSpot inbox for replies. If Help Desk is your destination, confirm the relevant HubSpot subscription and ticket configuration before rollout.
Coexistence can retain the WhatsApp Business App for eligible numbers. Agree when colleagues should reply on the phone and when the team should take ownership in HubSpot.
List each number, its WhatsApp Business Account, its current provider and the HubSpot team that should receive replies.
Install WhatsApp by Octopods and complete the supported connection flow. Check coexistence eligibility before changing an existing Business App setup.
Receive an enquiry, answer in HubSpot and test an approved template. Check the contact match, destination inbox and customer-visible sender.
Octopods custom channels require Sales Hub or Service Hub Professional or Enterprise. Help Desk requires Service Hub Professional or Enterprise.
Have the appropriate Meta business permissions and access to the number. Existing provider connections may require a migration step.
Use a HubSpot subscription with access to the required workflows. Prepare approved templates and customer permissions. Cloud API free-form replies are limited to the 24-hour customer-service window; review message categories and usage charges before rollout.
