Questions about Octopods?Schedule a call

Bring WhatsApp Groups into Intercom or HubSpot.

Create WhatsApp Cloud API groups for customer conversations with several participants. With an eligible Official Business Account number, your team can receive and reply to group messages in Intercom or HubSpot.

    The practical answer

A shared customer conversation, handled from your team's inbox.

Octopods connects WhatsApp Cloud API group messaging to Intercom or HubSpot. Customers join a business-created group through an invite link, and your team replies from its connected inbox. This feature requires a WhatsApp Cloud API number recognized as an Official Business Account; a standard Business App number alone does not qualify.

    Create groups in Reach

Use Reach, the Octopods browser extension, to create a group with a subject and optional description. Choose automatic joining or require approval, then share the invite link when WhatsApp finishes creating the group.

    02

    Reply from Intercom or HubSpot

Incoming group messages open a shared group conversation in your connected inbox. Replies go back to the WhatsApp group. Messages include participant information when WhatsApp provides it.

    03

    Manage who joins

In Reach, review and approve or reject join requests, remove participants, and reset the invite link. You can also edit the group's subject, description and photo.

    Where groups fit

Bring a small customer team into the same discussion.

Use groups for focused conversations with several stakeholders. Octopods currently supports up to 8 participants per group; plan your customer discussion around that limit.

    01

    Customer onboarding

Invite the buyer and project lead to ask questions together. Keep the discussion around one customer's rollout in a shared group conversation.

    02

    Ongoing account support

Give a small customer team a place to raise questions together. Your agents can handle the group's replies through Intercom or HubSpot.

    03

    Project and service coordination

Use a group when several customer contacts need to agree next steps with your business. Choose who should participate before sharing the invite link.

    Your next three steps
    1. Check the number's eligibility

Connect a WhatsApp Cloud API number to your Intercom or HubSpot workspace. Groups management requires the number's Official Business Account status to be recognized by Octopods.

    2. Create a group and invite participants

Open WhatsApp Groups in Reach. Choose the eligible number, create the group and wait for its invite link. Share the link, and approve join requests if you selected that mode.

    3. Receive a message and reply

Have a participant send the first group message, then open the conversation in Intercom or HubSpot and reply. Test the exchange before inviting customers.

    Before you connect

Start with the groups your customers need.

    An eligible Cloud API number

Groups management is available for WhatsApp Cloud API numbers with Official Business Account status. Account verification and Groups availability must be checked for the specific number.

    A connected customer platform

Use an Intercom workspace or an eligible HubSpot account. HubSpot custom channels require Sales Hub or Service Hub Professional or Enterprise; Help Desk requires Service Hub Professional or Enterprise.

A new group, within the supported limit

Plan for up to 8 participants. This setup creates Cloud API groups; it does not provide migration of existing Business App groups or their earlier messages.

Yes. Incoming messages and team replies are supported for connected WhatsApp Cloud API groups on both platforms. Creating and managing groups requires an eligible Official Business Account number.

Create and manage groups in Reach, the Octopods browser extension. Handle the group's messages in your connected Intercom or HubSpot inbox after a participant starts the conversation.

Octopods does not provide a migration flow for existing Business App groups or their history. The supported setup described here creates new Cloud API groups and invites participants by link.

Octopods currently supports up to 8 participants per group. Members join through an invite link, with automatic joining or approval required according to the mode you chose when creating the group.

Messages are kept in a shared group conversation and include the participant details supplied by WhatsApp. Joining a group does not by itself import every member as a CRM contact. In HubSpot, incoming replies can match or create individual sender contacts within the group conversation.

No. Groups is a Cloud API feature for a conversation with multiple participants. Coexistence connects an eligible Business App number to the Cloud API while retaining app access. Coexistence alone does not establish Groups eligibility; confirm your number's supported setup before planning to combine them.

A group is a shared discussion between participants. A broadcast sends messages to individual recipients. Use a group when a small customer team should take part in the same exchange.
